Practice Administrator (Longmont, CO)

Position Title: Practice Administrator

Employee Status: Salaried/Exempt Full-time 40 hours/week

Reports To: Stakeholders

Job Summary:

The Practice Administrator works closely with the doctors and staff to assure that all the business aspects of the practice are functioning in an orderly and proficient manner. The administrator communicates the practice vision through systems, problem solving, and communication. As the main conduit of information between doctor and staff, the administrator strives to bring out the best in the entire staff and maximize practice potential.

Essential Duties:

  • Supports staff to ensure efficient workflow, services, and production daily. Including patient care, clinical staff members, administrative responsibilities, and staff.
  • Conducts consistent check-ins quarterly and annually with staff. Addresses performance concerns and provides coaching. Issues appropriate disciplinary actions and discharges staff as needed with doctors’ assistance.
  • Oversees A/R management by the front office coordinator. Consistently meets to review previous production and collections. Ensure proper follow-up on accounts, statements, collections and to provide direction for account management with general oversight of accounts receivable.
  • Prepares and manages work schedules for staff to assure optimal staffing to production ratios and minimizing overhead.
  • Manages multiple schedules including practice management scheduling, surgeon schedules, call schedules, meetings, etc.
  • Process payroll and ensures all required employment, and benefit documentation is obtained from staff and maintained in the proper files.
  • Manages business accounting activities such as payroll, accounts payable, accounts receivable, bank transactions, accounting reports, tax preparation, debt/asset management, practice budgeting, and KPI reporting.
  • Responsible for recruiting efforts for all positions through application screening, interviewing, and hiring procedures. Oversee and direct on-boarding process with new hires.
  • Acts as a liaison between patients and staff concerning problems and complaints and attempts to resolve the matter(s).
  • Assist with treatment planning and case coordinating complex cases.
  • Keeps practice in compliance with health regulations, HIPAA and OSHA.
  • Educates and motivates support staff to achieve excellent customer service and patient satisfaction from services rendered by the practice staff.
  • Assists the employer with developing a marketing program to maintain the financial welfare of the practice.
  • Reviews fee structures for services and recommends changes to achieve financial optimization and success.
  • Performs cost analysis associated with purchasing supplies and equipment to ensure the most advantageous procurement.

  • Knowledge of English composition, grammar, spelling, and punctuation.
  • Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software).

Education / Experience:

  • Bachelor’s degree in business management (or related field) or equivalent experience
  • Minimum of three years of management or leadership related experience
  • Demonstrated use of effective communication with high relational intelligence is required
  • Ensure follow-up to tasks, responsibilities and projects
  • A motivated individual that can work independently and collaboratively to achieve higher business goals and objectives
  • Experience in healthcare preferred.
  • Experience with accounting and financial preparation is preferred.
  • Thorough knowledge of insurance eligibility of benefits is helpful.
