Oral Surgery practice established in 1969 with 3 surgeons and 4 locations throughout Northern MN and North West Wisconsin. A great and dynamic staff, wonderful doctors to work for and great benefits. Responsibilities:

  • Clinic Leadership
  • Lead and mentor all staff
  • HR manager for practice
  • Recruitment, interviewing, screening, and onboarding of all new hires
  • Business Development
  • All aspects of business including, but not limited to, administrative, financial, personnel, billing, and maintenance
  • Oversee the day-to-day operations of the practice, ensuring smooth workflow and efficient patient care
  • Develop and implement policies and procedures to improve practice efficiency and patient satisfaction
  • Manage and coordinate staff schedules, ensuring adequate coverage for patient appointments
  • Monitor and evaluate practice performance, identifying areas for improvement and implementing appropriate changes
  • Collaborate with Oral Surgeons and other healthcare professionals to ensure quality care delivery
  • Manage the practice’s financial operations, including budgeting, billing, and revenue cycle management
  • Stay up-to-date with industry trends and best practices, implementing new technologies and processes as needed
  • Accounts payable operations
  • Payroll
  • Help to prepare and file tax documents
  • Marketing the practice
  • Assist in recruiting and onboarding new providers
  • Manage other business requirements including business insurance, malpractice insurance, etc.
  • Partner with surgeons owners to manage all aspects of the practice
  • Ensure compliance with all relevant healthcare regulations and standards

  • Experience in an oral surgery/dental office or hospital setting is preferred
  • Familiarity with insurance contracts and reimbursement processes is a plus

Job description

Successful oral surgery practice looking for a dynamic leader to join our organization. Must have a high level of initiative, commitment to ensuring the delivery of a quality patient experience, and the capacity to manage a broad range of responsibilities. Our practice spans over 4 locations across the Northland (Duluth, Superior, Grand Rapids, and Virginia) must be able and willing to travel to all locations. This is an exempt position.

SUMMARY/PURPOSE

Provide leadership direction and administration to ensure the accomplishment of practice objectives and goals. Responsible for all aspects of business including, but not limited to, administrative, financial, personnel, billing, and maintenance. Monitors the activities of the practice operations to ensure the practice successfully meets its objectives.

ESSENTIAL JOB FUNCTIONS (include but not limited to)

  • 1. Clinic Leadership

    • Partner with surgeon owners to manage all aspects of the clinic.
    • Lead and mentor staff.
    • Maintains a safe and enjoyable workspace for team members.
    • Manage multiple expectations across the practice.
    • Guide business activities to align with the strategic plan of the organization.
    • Promote the clinic brand and culture.
    • Troubleshoots issues as they occur and proactively works to avoid future issues.
    • On-site IT point person.
    • Leads change implementation.
    • Ensure efficient infrastructure and clinic resources that promote employee productivity.
    • Monitor clinic schedule daily and proactively identify any issues or concerns.
    • Serve as a role model to all employees, exhibiting professionalism and integrity in all interactions.
  • 2. Financial Leadership

    • Manage all insurance company contracts and negotiations.
    • Prepare clinic financial statements and ensure accuracy.
    • Prepare quarterly reporting.
    • Manage billing office staff and ensure accurate and timely billing.
    • Ensure accuracy and timeliness in coding, prior authorizations, claims submissions and appeals, and collections.
    • Oversee performance of all accounts payable operations.
    • Help to prepare and work with the company accountant to file all tax documents.
  • 3. Business Development

    • Work with physician owners in expansion and growth of the practice.
    • Help with marketing the practice.
    • Assist in recruiting and onboarding of new providers.
    • Direct success of all service lines.
    • Ensure provider credentialing is maintained for payers and facilities.
    • Manage other business requirements including business insurance, malpractice insurance, etc.
  • 4. Human Resources

    • HR Management of clinic.
    • Performance reviews.
    • Employee Onboarding.
    • PTO Requests / clinic scheduling.
    • Employee File Management.
    • Employee Orientation and Training.
    • Create/Modify Policy and Procedure Manuals as Needed.
    • Create/Modify Employee Handbook as Needed Unlimited.
  • 5. Employee Recruiting

    • Applicant Tracking.
    • Resume Review.
    • Managing Job Descriptions.
    • Conducting Phone Interviews.
    • Performing In Person Interviews.
    • Background Screenings.
    • Reference Checks.
    • Negotiating Salary and Start Dates.
