    This downtime during COVID-19 is a really good opportunity to go back and personally respond to all of those patient reviews you never got around to. (Yes, even the negative ones.) Even though limited staffing at Google right now is postponing new reviews and responses from being published, it’s still important to make the most of the reviews you already have.

    One consideration that is often overlooked when it comes to responding to reviews is HIPAA compliance. To make sure you follow the rules and don’t violate the privacy of your patients, take a moment to read this helpful blog article from BirdEye.

    As you know, the ADA’s original recommendation to keep dental offices closed to all but emergency patients would have expired today, April 6.

    To keep your patients informed (and keep in touch with them), I would suggest sending them a quick follow up message to let them know you’ll continue to follow the ADA recommendation until April 30 (or longer, if your state has issued its own guidelines that extend beyond that date).

    To simplify things, I’ve included a short script below you can copy and paste into emails, blog posts, or social media.


    Dear patients,

    In an effort to focus medical care and resources where they are needed most during COVID-19, The American Dental Association recently extended their recommendation for dental offices to only treat emergency cases until April 30. Our staff fully supports this recommendation and we will continue to postpone elective dental procedures until after that date and all government restrictions are lifted.

    Of course, your health and dental care are always important to us, and we are standing by to help you with any dental related emergency or question you may have. Please do not hesitate to contact us at 000.000.0000 if you need us.

    Watching the news can be depressing.

    But buried among the reports of suffering, economic stress, and political debate are real stories of hope and humanity. In particular, stories of dental professionals who are finding ways to go above and beyond to help others during this crisis.

    Here are just a few of the inspirational examples I wanted to share about dentists and hygienists who are helping…

    Dr. John Blake, head of the nonprofit Children’s Dental Health Clinic in Long Beach, California, is one of many dentists who have signed up for the California Health Corps.

    Kendra Francilot has started a petition on change.org to allow dentists and dental hygienists to volunteer in hospitals across the country. So far, more than 14,000 people have added their signatures.

    Dentists in Arizona and other states are donating protective equipment and supplies, including masks, gloves, lab coats, and disinfectant wipes.

    Dr. Bart Wilson, an orthodontist in San Antonio, Texas, is using his 3-D printer to make masks for frontline healthcare responders.

    Even the everyday things dental professionals do can be a huge help in the fight against COVID-19. Check our recent blog article if you’re looking for ideas on how you and your staff can be helpers too!

    Scammers, as you would expect, are coming out of the woodwork and trying to cash in on this pandemic. Some out-of-the-blue offers you receive (like a great deal from a freelance web developer to add a COVID-19 pop-up to your website) may just be opportunistic and not necessarily malicious, but better to be safe than sorry.

    The Federal Trade Commission has posted some useful information on 7 common coronavirus scams targeting businesses.

    If you do receive a suspicious message, remember this advice from the Federal Communications Commission:

    • Do not respond to calls or texts from unknown numbers, or any others that appear suspicious.
    • Never share your personal or financial information via email, text messages, or over the phone.
    • Be cautious if you’re being pressured to share any information or make a payment immediately.
    • Scammers often spoof phone numbers to trick you into answering or responding.
    • Remember that government agencies will never call you to ask for personal information or money.
    • Do not click any links in a text message. If a friend sends you a text with a suspicious link that seems out of character, call them to make sure they weren’t hacked.
    • Always check on a charity (for example, by calling or looking at its actual website) before donating. (Learn more about charity scams.)

    I’m sure you’ve been hearing a lot of discussion lately about teledentistry. I think it can be a great idea for certain types of dental practices, and allows you to stay connected with patients in both times of crisis (like now) and times when every day life just prevents an in-office visit (like when a patient chips a tooth while away on vacation).

    Also, I wanted to point out that the ADA has released COVID-19 Coding and Billing Interim Guidance (PDF), which includes information on teledentistry and virtual treatment.

    Now that dental practices are settling into “emergency-only” care, I wanted to share a few useful items from our Resources page that may be helpful in scheduling those appointments.

    Help Your Patients Understand If They Have An Emergency or Not

    Send your patients a copy of the ADA’s guideline document “What is a Dental Emergency?” to help them decide if they should schedule an appointment. Or just copy and paste our template.

    Apple COVID-19 Screening Website and App

    Last week, Apple released a website and app for COVID-19 screening. Although it is not designed specifically for dentists, it can be a useful tool for screening patients prior to emergency appointments. Either send your patients the link ahead of time to self-screen or use it in-office to ask them a series of questions to help determine if they should postpone or take any other action based on their results.

    The Senate has unanimously passed the CARES Act, which will include several provisions that will help ease the pain of closing dental practices. The House is expected to vote March 27.

    Two Delta Dental companies have also stepped up, offering advance reimbursement for member dentists. The ADA is encouraging more insurance companies to do the same.

    As the Coronavirus Aid, Relief, and Stimulus Act (CARES Act) makes its way through Congress today, there are other steps you can take in the meantime to help your dental practice financially.

    The Willeford Group has created this useful checklist (PDF)to assist dentists in dealing with the financial strains of COVID-19.

    This past week has provided some much needed optimism for dentists in terms of financial relief from the fallout of COVID-19.

    OMSNIC has updated its FAQs on our website regarding the COVID-19 matter to clarify that:

    • Yes, an OMS has coverage should a patient make an allegation that they contracted the COVID-19 virus from the practice, and
    • Yes, an OMS has coverage for teledentistry done for patients located in a state where the OMS is licensed to practice.

    We have also developed a set of two new forms regarding the COVID-19 pandemic based on policyholders’ questions:

    OMSNIC recommends, but does not mandate, these forms be used as additional tools during the pandemic if desired based on the clinical judgment of the practitioner.

    We continue to receive a number of questions from policyholders and will continue to make additional information available as it is developed.     Whether your dental office is operating on a limited, emergency-only schedule or shut down completely, it’s a good idea to update your hours of operation wherever they appear online so your patients will know your availability during COVID-19.

    To help you out, here are a few quick tips to update your Google My Business page.

    Also, if you don’t have anyone in the office to answer the phone, please remember to forward your office number to your personal cell to take emergency calls.
